Integrated Audio-Visual System Solution for Group Headquarters Building
Smart Building – Current Situation Analysis
Identified Issues: Lack of visualized and centralized management
In traditional conference rooms, audio and video signals are limited to local sound reinforcement and display only. Signal interconnection and sharing are not possible, nor can the meeting rooms across the building be managed in a unified and efficient manner.
System Configuration: Distributed Integrated Management Platform
The distributed management platform interconnects audio, video, and control signals among conference rooms, multifunction halls, and boardrooms, enabling signal sharing and centralized, unified management across all meeting spaces.
Identified Issues: Lack of Effective Meeting Room Management
There is no efficient meeting room reservation and management mechanism. Scheduling is often unreasonable and lacks unified, standardized management, resulting in frequent meeting room conflicts. This leads to low meeting efficiency and the absence of effective meeting record data.
System Configuration: Meeting Room Reservation System
Provides a structured and efficient meeting reservation process, including pre-meeting check-in and post-meeting data summary. By integrating with access control and other systems, it enables automated meeting room reservation and management.
Identified Issues: Paper Waste and Poor Confidentiality
The transmission of meeting materials is complex and difficult to manage or retrieve, resulting in weak confidentiality. Printing meeting documents is time-consuming and wasteful, leading to low overall meeting efficiency.
System Configuration: Cloud-Based Paperless Conference System
The paperless conference system offers functions such as attendance management, meeting agendas, voting, breakout discussions, and document access, enabling a new-generation, fully paperless conference experience throughout the entire meeting process for the group headquarters building.
Identified Issues: Complex Meeting Operations
Conference room operations are complicated and lack ease of use, requiring repeated training. Bandwidth consumption is relatively high, ongoing operating costs are elevated, and integration with surrounding systems is limited.
System Configuration: Central Control System
Through a customized UI application, the interface is primarily designed for mobile terminals (tablets, touch panels) while also supporting PC desktop use. With a visual and intuitive interactive interface, users can complete scene setup and switching with a single touch.
Distributed Control & Management Platform – Application Functions
Unified Management in a Multi-Meeting-Room Environment
Power Management
Centralized backend control of power on/off for each meeting room.
Lighting Management
On/off control and brightness adjustment of lighting in each meeting room.
Air Conditioning Management
Temperature settings and on/off control of air conditioning in each meeting room.
Visualized Operation
A visualized control interface that provides real-time feedback on control actions and live preview of meeting room scenes.
Audio & Video Interconnection Between Multiple Meeting Rooms
Each meeting room is equipped with multiple input and output nodes.
In addition, a control center is equipped with professional sound reinforcement systems and display screens to centrally display signals and enable unified signal management and control.
The input and output node signals of all meeting rooms can be interconnected and shared on demand.
Automatic Activation of Meeting Rooms Based on Reservations
After employees reserve a meeting room via the staff APP, the distributed central control system automatically powers on and prepares the corresponding meeting room before the meeting starts, and automatically turns off the room’s power and equipment after the meeting ends. This effectively saves building resources and operating costs, enabling fully automated and intelligent meeting room management.
Meeting Room Reservation System Functions
Mobile Meeting Room Reservation
Office staff can reserve meeting rooms via a mobile APP by selecting the desired time slot and available meeting room, and completing the relevant meeting information. This significantly improves meeting room utilization efficiency.
Facial Recognition Check-In
No manual sign-in is required. After a meeting is reserved, employees can complete automatic facial recognition check-in via the display at the meeting room entrance, with attendance records automatically stored in the backend system.
Participant Notifications
After a meeting is scheduled, the system notifies participants via SMS, email, and the OA office system to ensure timely meeting attendance.
Infrared Detection & System Integration
Integrated with access control systems to automatically unlock and open meeting room doors upon reservation.
Integrated with infrared sensors to monitor real-time meeting room occupancy.
Integrated with the central control system to automatically power on/off meeting room equipment, achieving fully automated management.
Professional Sound Reinforcement System
In terms of speaker selection, factors such as the appearance of the speakers, sound pressure level, uniformity of the sound field, and speech intelligibility are all considered comprehensively. During the design phase, EASE 4.4 software is used for simulation and analysis to select the appropriate professional speakers, ensuring optimal audio performance for the audience in the meeting room.
Digital IP Background Music and Public Address System for Building Common Areas
Background music is divided into independent zones for different areas, enhancing the environment of the group headquarters, providing announcements for employees, and creating a comfortable working atmosphere in office areas. Public broadcasting serves as an important component of media communication. Music selection, playback, and volume adjustment can be easily managed via a mobile APP.
The system integrates fire alarm broadcasting to cover all areas of the office building, ensuring employee safety and creating a secure working environment for the group headquarters.
